My Zebra says offline but is switched on: how to fix it

The printer has lights on, but Windows says offline and no labels come out. This message describes communication with the computer: it does not necessarily mean the printer is switched off or broken. Start with the queue you are using and follow the checks for your connection.

Before sending more labels

Open the queue and look for waiting jobs. Repeated printing can build up copies that come out when the connection returns. This guide assumes your Zebra already appears in Windows; if it is completely missing, use the USB detection guide.

1. Check the printer, not just the PC message

Check that labels are loaded, the lid is closed, and the printer is not paused or showing an error. FEED button behaviour and light colours vary by model: consult its manual. If it advances a label using its own button, you have checked a local function, but not yet communication with Windows.

2. Open the queue and check it is the right one

The queue is the list of documents Windows holds before sending them to a printer. Two entries with similar names may point to different connections. Also check the printer selected in your label application; making an entry the default does not repair its connection.

  1. Windows 11: Settings → Bluetooth & devices → Printers & scanners. Windows 10: Settings → Devices → Printers & scanners.
  2. Select your Zebra and open its print queue. Check job names, errors and whether printing is paused.
  3. If Pause Printing or Use Printer Offline is checked, clear it to resume. These options appear in the classic interface; location or availability varies with Windows.

Pending jobs may start printing when you resume or restore the connection. Check which ones you need before sending another test.

3. Follow the connection you actually use

Different connections need different checks. Identify whether the printer cable goes to your PC, a network device, or whether you print through another computer.

USB to the computer

Try a direct connection and a compatible cable. If Windows no longer detects the device after reconnecting, follow the USB guide. You do not need to open network port 9100 for USB communication.

Ethernet or Wi-Fi

Confirm the printer is on your work network and the PC can reach it. A changed router, Wi-Fi network or IP address can leave an installation pointing to the old address. Having power connected is not enough.

Shared from another PC or server

The computer sharing the Zebra must also be switched on and accessible. If several users have the problem, check that computer and its queue. If only you are affected, check your access and selected printer.

4. Check where that printer entry points

Open Printer properties—not Printing preferences—and look for Ports, if available. For USB, the entry must use that printer's port; do not choose USB001 by habit. For network printing, compare the configured address with the printer's current IP, obtained as described in its manual. If the IP changed, ask for the installation to be corrected. Do not guess ports on a shared printer.

New Zebra with EU RED instructions?

Affected printers may still need initial security setup through the official wizard and Nucleus Connector. If your application prints over TCP 9100, that service must be enabled for the required setup. Not every offline status is caused by EU RED, and enabling network ports does not repair USB. Nucleus for Windows EMEA does not replace the driver installer.

5. Check whether it responds in Zebra Setup Utilities

If you use Zebra Setup Utilities and it supports your model, select the same printer and connection. Open Open Printer Tools and try Print → Feed one label with media loaded and the printer ready. If it responds, that communication path works: return to your application and its queue. If it does not, check connection, port and printer status before changing the label design.

6. If the queue stays stuck

Cancel only jobs you have identified and want to discard; resend them later if needed. If they remain stuck, restart the PC when practical. Restarting Print Spooler may require permissions and affects other printers on the computer: ask IT on a shared PC or server. On Windows 11, you can also use the printer troubleshooter in Get Help.

Frequently asked questions

Why does it say offline if the light is green?

The light reports a local printer state. Windows may be using another queue, an old address or a connection that does not respond.

Should I reinstall it immediately?

Check the queue, connection and port first. If reinstallation is needed, record model, DPI, label size and settings to restore the correct setup.

Will calibration clear the offline status?

Calibration adjusts media detection. It does not fix the selected printer or the destination Windows sends jobs to.

What if it prints but Windows still says offline?

Status reporting may be failing separately from job delivery. Ask for the driver's status checks to be reviewed; do not disable network or security options without identifying the cause.
